What is Notetaker?
Hook Notetaker joins your customer calls as a bot participant and transcribes them automatically.
A call summary appears in the Feed, so you can keep track of your customer interactions
Ask Hook Chat for call summaries, next steps, drafts for follow up emails and other questions about your recent interactions
Use context from meetings as input for custom briefs
It's not yet possible to view the full meeting transcript in Hook with Notetaker.

Key components of Hook Notetaker:
Works with Google Meet, Microsoft Teams, and Zoom
Connects to your calendar via Google or Outlook using Nylas (set up under Profile Settings > Connections)
Shows your upcoming meetings for the next 7 calendar days and a record of past transcribed meetings
Joins calls labelled as "[Your company name] Notetaker"
Automatically matches the meeting to the relevant customer in Hook using data from your CRM contacts or from product users. If it can't determine the customer confidently, the meeting is left as "Unassigned" for you to assign manually
How to Set up Notetaker
Step 1: Connect your calendar
Go to Profile Settings > Connections
Connect your calendar via Google or Outlook using Nylas
Step 2: Choose how Notetaker joins your meetings
Go to Profile Settings > Notetaker. You have two options:
Option A: Auto-join (recommended)
Follow the steps below for Notetaker to automatically join all external meetings.
Switch on the "Automatically join external meetings" toggle
Select to have Notetaker join the meeting if you are either the organiser, participant (recommended), role
Configure whether to allow Notetaker to only join the meetings you've accepted (recommended) and to automatically join recurring meetings (recommended)
If any customers have asked not to be recorded, add their domain to the blocked domains list. Notetaker won't auto-join calls with participants from those domains
Click Save
Go to Profile Settings > Notetaker to configure how Notetaker joins meetings
Option B: Manually add for each meeting
Follow the steps below to manually add Notetaker to external meetings
In the Upcoming Meetings list, toggle Notetaker on for individual meetings
Meetings are shown up to 7 days ahead
Meetings are automatically assigned to accounts in Hook by identifying meeting attendees from contacts in your CRM or Users in Hook. This can be overridden by manually updating the account assignment for meetings under the Past Meetings tab.
Step 3: Admit Notetaker to the call
Notetaker will join just before the scheduled start time
When prompted, admit it into the call
It will appear as "[Your company name] Notetaker"
At the start of the call, a short message will appear in Chat making meeting attendees aware that the call will be recorded
Step 4: Review the meeting summary (optional)
After the call ends, go to the Customer page > Feed
The summary will appear there shortly after the meeting ends
Is Notetaker right for your team?
Notetaker is ideal for teams looking to reduce manual note taking for meetings, do not have a call recorder that supports full transcripts or one that does not have a native Hook integration. Notetaker summarises calls and stores a full transcript for Echo to analyse and identify churn or upsell signals.
Benefits of Notetaker
More signal, less manual work. Notetaker captures meetings automatically and makes that content available inside Hook, where it can drive Echo activity without any extra effort from the rep or CSM.
Richer customer understanding. The full transcript feeds into Echo so Hook can act on what was actually said in calls - not just the summarised version.
Meeting summaries without the admin. AI-generated summaries appear in the Feed shortly after each call ends, giving CSMs a quick reference without having to write anything up themselves.
When to use Notetaker
You want Echo to have full meeting context without manually logging notes after every call
You don't have a call recorder that stores full meeting transcripts for Echo use - Notetaker removes the need for that separate product
You want consistent coverage across your book of business, not just the calls where someone remembered to take notes
Some calls aren't covered by your call recorder and you want transcription for those meetings specifically
❓ Frequently Asked Questions
Can I read the full transcript?
Not in this release. The summary is visible on the account page under Feed. The full transcript is available to Echo for analysis but is not directly accessible to users. There is no recording playback in this current release.

When does the meeting summary appear in the Feed after the meeting has finished?
The summary will appear in Hook shortly after the meeting has finished - this will take no longer than 30 minutes. If you don't see the meeting appear in the Feed after this time, check the meeting is assigned to the correct account in Past meetings in Notetaker settings. If you're still having issues, reach out to [email protected]
Can I use Notetaker alongside other call recorders?
This is possible, though Hook recommends using a single call recorder, to avoid running both tools on the same calls. This will result in meetings being captured twice and duplicated in the Feed.
There are two ways to handle this:
Disable the other call recorder integration in Hook - Notetaker becomes the sole source for meetings information.
Use Notetaker selectively - don't enable auto-join; instead, manually toggle Notetaker on only for calls that your other call recorder is not covering
Can I download or delete a transcript?
Transcript download and deletion are not available in this release. Deletion requires Hook to step in directly - reach out to [email protected] for more details.
Can I transcribe internal calls?
Notetaker can join internal calls but these cannot be linked to an active customer, so summaries and transcripts will not be available.
Is this a replacement for my existing call recorder?
Not quite - Notetaker doesn't offer video playback or searchable transcripts. It's focused on capturing customer conversation context to feed into Hook's Echo AI agent. See the section above on running both tools.
Is this a replacement for my personal notetaking tool?
Not quite - Notetaker is designed for external meetings only, and all transcripts must be attributed to a customer. There's no way to view transcripts, or to find meeting summaries for internal meetings.
How are meetings associated to accounts in Hook?
Meetings are associated using the emails associated to the meeting attendees, and linking these to contacts in your organisation's CRM or Users in Hook.
What happens if Notetaker can't match a meeting to an account?
The meeting is left as "Unassigned". You can manually assign it to the correct customer under the Past Meetings tab. If you have technical issues, reach out to [email protected].
How are Echo signals impacted if I reassign a meeting to a different account after it's been transcribed?
Any signals already created from the original assignment are not updated retroactively. Check your assignments before the call where possible, or correct them promptly afterwards.
Can I stop Notetaker from joining calls with specific customers?
Yes. You can add specific domains to a blocked list under Notetaker settings. Notetaker won't auto-join any calls with participants from those domains.
Which calendar and meeting platforms does Notetaker support?
Notetaker connects to Google and Outlook calendars via Nylas, and works with calls on Google Meet, Microsoft Teams, and Zoom.
Can I rename Notetaker for when it joins calls?
Notetaker will have the name of your organisation, followed by Notetaker. For example, Hook Notetaker is how Notetaker appears in Hook's customer calls. It's not yet possible to rename this.
