Managing Email Templates

Create an Email Template
Go to Organisation settings > Communications.
Click the Create template button in the top right corner.
Choose your format:
Rich text: Best for standard emails with simple formatting, links, and lists.
Raw HTML: Choose this if you have a custom-designed layout from a marketing tool or need specific branding that requires code.
Enter a Template name and a Subject line.
Compose your message. Use the Insert variable button to add dynamic fields like Recipient first name or Sender first name.
Click Create template to save. The template will automatically be activated.
You'll be able to select this email template as an option to use when creating email automations.
Edit an Email Template
Find the template in your list and click the pencil icon (Edit template).
Modify the name, subject, or body as needed.
Click Save changes.
Deactivate or Activate an Email Template
Use the toggle switch on the right side of any template to set it to Active or Inactive.
Inactive templates will not be available for selection when setting up automations.
Delete an Email Template
Click the bin icon (Delete template) next to the specific template.
A confirmation window will appear. Click Delete template to permanently remove it.
â ď¸ It's recommended to deactivate, rather than delete, an email template.
Note: Templates can only be deleted if they are not currently being used in an active automation.

Email templates are visible and can be used by your entire Hook instance.
Who has access to create email templates?
Managers and Technical Admins have the necessary permissions to create and manage email templates.
Can I import email templates from third-party tools (e.g., Salesloft, GMail, etc.)? While there is no direct "import" button, you can easily add them to Hook by copying and pasting the raw text or HTML code from your original template into the Hook editor.
When should I use Raw HTML instead of Rich Text?
Use Rich Text for most day-to-day communication where you need standard formatting. Use Raw HTML when you want to use a highly branded, complex design created by a marketing team or a third-party design tool that requires specific CSS or layout structures.
